The Interface

Navigation Bar

The top bar gives you quick access to everything. Admins will also see Admin Users and Admin Teams links for managing the whole workspace.

Click the 🌙 icon to toggle dark mode. Click your name in the top right to open the TODO List — a personal view of all tasks assigned to you across every project.

The Task List

Each row in the task list shows the most important details at a glance. Hover over a task title to see its full description.

The checkbox is currently visual only and is not used yet. The task title format uses Project → Task name so you always know what project a task belongs to.

Creating a Project

Projects are containers for related tasks. Before creating tasks, you'll want at least one project set up. Click the + New Project button to open the creation dialog.

Project Title
A clear, short name for the project. This appears as the prefix in every task title.
Description
Optional context about the project's goals or scope.
Project URL
Link to a website related to this project. taskr will try to fetch its icon automatically.
Assign Members
Choose which team members have access to this project. Only they'll see it in their workspace.

Tip: Fields marked with are required. You must add a Project Title before you can click Create Project.

Creating a Task

Inside any project, click + New Task to create a task. The form is split into clear sections — fill them out from top to bottom.

Basic Information

Enter a Task Title (required) and a Description (required) that explains what needs to be done. The description will appear in the hover tooltip so teammates always know what a task involves without opening it.

Assignment

Select the Task Owner — the primary person responsible for completing this task. Their avatar will appear in the task list. You can also add Additional Collaborators by checking names in the list below.

The task creator is automatically shown as the default owner. You can reassign it to any team member who is part of this project.

Timeline & Priority

Set a Due Date using the date picker, and choose a Priority level — Low, Medium, or High. Both values appear directly in the task list so everyone can see what needs attention first.

Files & Attachments

Drop any reference files into the upload zone, or click browse to select them. Supported formats: PNG, JPG, PDF up to 10 MB each. The number of attachments is shown as a paperclip icon next to the task title.

Create the Task

When everything looks good, click the Create Task button at the bottom. The task will instantly appear in the project's task list, ready to be tracked.

Creating a Task by Email

You can also create a task by sending an email. This is useful when you want to capture work quickly without opening the app.

Use the Email Subject as the Task Title

The email Subject becomes the task title automatically. Keep it short and specific, just like when creating a task inside the app.

Pick a Project in the Email Body

If you want to target a specific project, add a line like Project: 'Marketing'. If this line is missing or the project name does not match, TaskR falls back to the default project saved in your profile.

Assign the Task While Creating It

You can add Assigned to: 'teammate@company.com' in the body. If that person is part of the chosen project, the task is assigned to them. If not, the task is still created and stays assigned to you.

Add Notes and Attachments

Everything else in the email body becomes the task description. Any attached files are uploaded to the task automatically and appear as regular task attachments.

Receive a Confirmation Email

After processing, TaskR sends a confirmation email back to the sender. If the task could not be created, the reply explains the reason so you can fix it and resend.

Urgent Alerts

Send Urgent Alert to Task Owner Important

Sometimes a task needs immediate attention and a comment just won't cut it. Each task row has a red bell icon (🔔) — clicking it sends an instant urgent alert directly to the task owner, notifying them that their immediate action is required.

⚠️

Use it wisely. The alert is designed for genuine urgency — a deadline just moved up, a client is waiting, or a blocker needs to be resolved right now. Hover over the bell icon to see the tooltip: "Send urgent alert to task owner" before clicking.

Your Profile & Preferences

Access your profile by clicking your avatar or name in the top navigation. Here you can personalize your experience and set useful defaults.

Full Name / Alias
Change how your name appears to teammates across the workspace.
Change Avatar
Upload a profile photo to help teammates identify you in task lists.
Default Log Order
Choose whether task activity logs show Newest first or Oldest first.
Default Project
Set which project opens by default when you log in — ideal if you mostly work in one project.

Remember to click Save Changes after editing your profile details, and Save Defaults after changing your preferences — they are separate save actions.
